P&F Solutions Responsible AI Policy

Effective Date: January 2026

At P&F Solutions (“we”, “our”, or “us”), we are committed to developing, deploying, and using artificial intelligence (AI) technologies in a responsible, ethical, and transparent manner. This Responsible AI Policy outlines our principles and practices for ensuring that our AI systems benefit our clients, employees, and society while minimizing potential risks and harms.

1. Core Principles

Our approach to AI is guided by the following principles:

  • Fairness and Non-Discrimination: We design AI systems to treat all individuals and groups equitably, actively working to identify and mitigate bias in data, algorithms, and outcomes.
  • Transparency and Explainability: We strive to make our AI systems understandable and their decision-making processes explainable to stakeholders.
  • Privacy and Data Protection: We protect personal data and respect privacy rights in all AI applications, adhering to applicable data protection regulations.
  • Safety and Security: We ensure AI systems are robust, secure, and safe for their intended use, with appropriate safeguards against misuse.
  • Accountability: We maintain clear lines of responsibility for AI system outcomes and establish mechanisms for redress when issues arise.
  • Human Oversight: We ensure meaningful human control over AI systems, particularly in high-stakes decisions affecting people’s lives.

2. Fairness and Bias Mitigation

We are committed to developing AI systems that are fair and free from discriminatory bias. To achieve this, we:

  • Conduct regular bias assessments throughout the AI lifecycle, from data collection to deployment.
  • Use diverse and representative datasets that reflect the populations our AI systems serve.
  • Implement technical measures to detect and mitigate bias in AI models and outputs.
  • Establish diverse development teams to bring multiple perspectives to AI design and testing.
  • Monitor deployed AI systems for discriminatory outcomes and take corrective action when identified.

3. Transparency and Explainability

We believe stakeholders have a right to understand how AI systems affect them. We commit to:

  • Clearly disclosing when AI is being used in customer-facing applications and decision-making processes.
  • Providing documentation on AI system capabilities, limitations, and intended use cases.
  • Offering explanations of AI-driven decisions when requested and where technically feasible.
  • Making information about our AI governance practices publicly available.
  • Engaging with stakeholders to understand concerns and incorporate feedback into AI development.

4. Privacy and Data Governance

We handle data responsibly in all AI applications by:

  • Adhering to applicable data protection laws and regulations, including GDPR, CCPA, and other relevant frameworks.
  • Implementing data minimization principles, collecting only data necessary for specified purposes.
  • Obtaining appropriate consent for data collection and use in AI systems.
  • Employing privacy-preserving techniques such as anonymization, pseudonymization, and differential privacy where appropriate.
  • Ensuring secure data storage, transmission, and processing with robust cybersecurity measures.
  • Providing individuals with rights to access, correct, and delete their personal data used in AI systems.

5. Safety, Security, and Robustness

We design AI systems to be safe, secure, and reliable by:

  • Conducting thorough testing and validation before deploying AI systems in production environments.
  • Implementing security measures to protect AI systems from adversarial attacks, manipulation, and unauthorized access.
  • Establishing monitoring systems to detect anomalies, errors, and degraded performance in deployed AI.
  • Creating incident response procedures for addressing AI system failures or unintended consequences.
  • Regularly updating and maintaining AI systems to address emerging risks and vulnerabilities.
  • Designing fail-safe mechanisms and human override capabilities for critical AI applications.

6. Human Oversight and Accountability

We maintain appropriate human control and accountability over AI systems by:

  • Ensuring humans remain in the loop for high-stakes decisions affecting employment, credit, healthcare, legal matters, and other significant areas.
  • Clearly defining roles and responsibilities for AI system development, deployment, and oversight.
  • Establishing governance structures, including an AI Ethics Committee, to review AI initiatives and address ethical concerns.
  • Training employees who work with AI systems on responsible AI practices and ethical considerations.
  • Providing mechanisms for individuals to challenge AI-driven decisions and seek human review.
  • Maintaining documentation and audit trails for AI system decisions and operations.

7. Prohibited Uses

P&F Solutions prohibits the development or deployment of AI systems for the following purposes:

  • Unlawful surveillance or privacy violations.
  • Discriminatory practices that violate civil rights or human dignity.
  • Manipulation or deception that causes harm to individuals or groups.
  • Autonomous weapons or systems designed to cause physical harm.
  • Social scoring systems that inappropriately judge or rank individuals.
  • Any use that violates applicable laws, regulations, or fundamental human rights.

8. Third-Party AI Systems

When procuring or integrating third-party AI systems, we:

  • Conduct due diligence to ensure vendors align with our responsible AI principles.
  • Request documentation on AI system design, training data, testing, and known limitations.
  • Assess third-party AI systems for bias, security, and compliance with applicable regulations.
  • Include contractual provisions requiring vendors to adhere to responsible AI practices.
  • Maintain oversight and monitoring of third-party AI systems deployed in our operations.

9. Continuous Improvement and Compliance

We recognize that responsible AI is an evolving field. We commit to:

  • Staying informed about emerging AI ethics research, best practices, and regulatory developments.
  • Regularly reviewing and updating this policy to reflect new insights and changing standards.
  • Conducting periodic audits of AI systems to ensure ongoing compliance with this policy.
  • Engaging with industry groups, academic institutions, and civil society organizations on responsible AI topics.
  • Investing in research and development of responsible AI technologies and methodologies.

10. Reporting and Grievance Mechanisms

We encourage stakeholders to raise concerns about our AI systems. We provide:

  • Clear channels for reporting AI-related concerns, including ethics violations, bias, or harmful outcomes.
  • Protection against retaliation for employees who raise good-faith concerns about AI systems.
  • Timely investigation and response to reported issues.
  • Mechanisms for affected individuals to seek remediation when harmed by AI system decisions.

11. Policy Governance

This policy is overseen by P&F Solutions’ AI Ethics Committee and senior leadership. The policy will be reviewed annually and updated as necessary to reflect technological advances, regulatory changes, and stakeholder feedback.
